Microsoft Lists integration with Power BI

We are excited to announce the release of a new guided experience in Lists that will make it easy to create business intelligence reports in Power BI using your list data as your source.

List users will see a new menu option in Integrate, then Power BI, then "Visualize this list", which allows users to create a new Power BI report using that list. With just one click, you'll be able to autogenerate a basic report and customize the list columns that are shown in the report. To take further advantage of Power BI, go into Edit mode. Once a report is saved and published, it will appear in the same Power BI submenu under Integrate.

Users with a Microsoft 365 E5 license or Power BI Pro license will have access to the full report authoring and viewing experience. Users without either of those licenses will be prompted by Power BI to sign up for a 60-day free trial of Power BI Pro when they attempt to save a new report or edit or view an existing report. You can turn off self-service sign-up so that the option for a trial is not exposed to List users, click here. Users with a Power BI free license may only visualize their list data but cannot publish nor view reports.

Excellent little & short video. Brilliant content and speed of presentation. It also showed my the solution for a task that seemed unsolvable. Thank you so much for producing and sharing this clip.

Greeeeaaat video, thanks! One question, if a list is updated, does it immediatly sync with the PowerBI ? Do we need to use Power Automate to feed Lists data to PowerBI ?

Thank you Mark or such a great tutorial. One (perhaps too easy for you) question: Microsoft List being so powerful tool and comparing it to Microsoft Tasks outweighs it by far, how come Tasks can send overdue tasks automatically to an owner of the task but List cannot do so? So far I could not find an easy way of doing so. Creating Flows in Power Automate takes so much time. Perhaps there is a way of doing that but it is not intuitive and I am sure other users struggling with this thus working on coding to create flows (that is not an easy task). Your response i much appreciated. Or perhaps you can add that functionality to the List?

This feature is great, but new columns added to the list are not shown on the report data source. I've refreshed it, delete, recreate and nothing seems to work. Can some one tell me if you are experiencing the same issue? Thank you

Is there a way to report on choice columns that allow for multiple values? So if I have a 3 choice column (‘a’, ‘b’ and ‘c’) that allows multiple values. If I have 20 rows with the first 10 have a value of ‘a’ and the second 10 having a clue of ‘b’ and the rows 8 through 12 also have a value of ‘c’ (so rows 8 through 10 have two values of ‘a’ and ‘c’ while 11 and 12 have values of ‘b’ and ‘c’). Now I would like to creat a visual in PowerBI that has 3 columns, one for each value of ‘a’, ‘b’, and ‘c’ and the column shows the count of each so ‘a’ (10), ‘b’ (10) and ‘c’ (5)? From my experimentation PowerBI from lists isn’t differentiating the values so instead of 3 values it sees 5 ( ‘a’, ‘b’, ‘c’, ‘a, c’ and ‘b, c’). Does the integration function not support that (in other words, to do what I want, will I not be able to use PowerBI from the integrate menu item in Lists, but instead need to first create a PowerBI dataset from the List as a data source that uses powerquery to pull out those multiple value rows into their own rows?)?

How can I now embed this powerbi report back into sharepoint? And how can I delete the powerbi report associated (published) with the list when it is no longer needed?

So in my tenant, if I try to "Get more visuals" after going into edit the page that pops up after selecting teh PowerBI integration, nothing happens. Is this function not supported in this integration, or is there something wrong with my setup? Not sure if this matters, but I have a PowerBI Pro license.

Hi. I have used this cool feature recently. I have a question though - how do I refresh the data being used by the Power BI from the list? When I make changes to the List, it takes a while - hours - for the data to refresh in the integrated Power BI. Clicking the refresh button seems to have no effect. Clicking on the Data Updated dropdown shows it was refreshed a few hours ago. Thanks.
