Need to schedule a meeting with people outside your company? If you want to avoid a lot of back-and-forth emails, use Microsoft's FindTime add-in for Outlook. It allows people to vote on the best time to meet. FindTime will hold your suggested times so that you won't get double-booked, and when you are ready to schedule the meeting, FindTime will book your meeting! How cool is that? FindTime works in Outlook on the desktop and Outlook on the Web. There are three voting options - No, Yes, and Prefer.

Do recipients also need to have FindTime installed? No, just the person scheduling the meeting.
Can I send invites to people who don’t use Office 365? Yes! Yes! You can send a FindTime invite to anyone with an email address. Only organizers are required to be on Office 365.

How can you find availability for RECURRING meetings? I've been using Outlook for decades, and I don't understand why they haven't addressed this use case. Recurring meetings are COMMON in business, and Outlook basically leaves us blind.

Great video, easy to understand. One issue I ran into using it for first time, when none of the times work and you add new times through the link...it sends all the recipients individual/multiple emails for every time block you add. So I ended up sending 3 additional spammy looking, automatic emails to my contact. They ended up calling me and defeated the whole purpose of using the tool in the first place...oh well.

Hi Chris, is it possible to check the available time of calendars of the non-gmail users in our volunteer organization? Some use AOL, Yahoo, Gmail, and their own domain email addresses.

MS Bookings, albeit different functionality, seems to do job better. As I understand, any polling including FindTime, leverages WebView2. And there are a wealth of issues with clients opening side panel, usually it just doesn't load.

Thanks Chris. Crystal clear video! By the way, if I have sent out a FindTime poll with 4 people, how to add two more people? Is that possible? I don't see it when editing the poll, which allows me only to change meeting duration. Thx

Great video! Thanks for this. It gets annoying having to set up meetings using a form method, etc. That's a tedious way. So how do you set it to open on the desktop version opposed to when you create the new meeting or view the poll and it opens in the online version? I'll be using Zoom and since I don't use the online version, I'm stuck. I'm thinking I may have missed something. Or is it just best to create the zoom in a way that I normally would?

Chris, what happens when there is no date that works for all? Do I cancel and re-poll? If I try and propose another date, I don't see the calendar and who's free. Any ideas you can share would be appreciated.

If I am scheduling on behalf of my boss would I need to send the email through their account? Since I will not be present at the meeting I do not want my boss's meeting to interfere with my schedule. Great video btw!

What if i make the poll with 2 options and i want to make both of the meetings? How can i send the scheduling only to the people who voted on the specific date?

So this tool wastes loads of time for recipients who have never seen it before because it simply doesn't work outside of an MS environment. Also if you don't have Outlook for business then you can't have the Add-in. So this is an insulting tool to send outside your organisation because you are assuming they all have Outlook for business. If I am wrong then MS needs to improve their help and support pages.
