How Can Two-Factor Authentication Secure Your Business?

Two-factor authentication might be a term that you're unfamiliar with, but the chances are that you've used the technology before.

It's a few years since most of the high street banks introduced two-factor authentication as an additional security measure when you log into your personal and business banking.

The small token that you enter a code into our insert your card in return for a security number is two-factor authentication or 2FA for short.

Why is 2FA important?

If we take the example of logging into your online banking, previously you would need just your username and password to log in and access all of your money online. What would happen if someone hacked your PC and your username/password stolen? It would be easy for someone to log into your online banking and take all of your money. With 2FA, even if someone else has your username and password, they still can't log in to your online banking with your security fob. The chances of someone having your username/password and your security fob are slim.

How can 2FA protect you and your business?

2FA in the business world isn't a new concept. I remember my first IT position at HBOS in 1999 and most of the senior managers had small 'RAS tokens' so they could dial up and access their email and files while they were working from home.

Technology has changed somewhat since 1999! One of the main changes is that most of our business IT services are now cloud-based. For example, as a business, we use Office 365 for email, Xero as our cloud-accounting package and Nimbox to store all of our company data. It would be disastrous for any of these cloud services to get hacked. Fortunately, we can protect all of these cloud services with 2FA authentication.

2FA Token or App?

Smartphones weren't around in 1999, and so physical tokens were needed for users to connect to their corporate network. Today, we can use our smartphones to install apps like Google Authenticator or Microsoft Authenticator. These apps work just like a RAS token and produce a 6-digit code every 30 seconds for you to use when you log into Office 365, Xero and a whole range of online services.

These apps are also free of charge.

There might be times when using an app on a smartphone isn't convenient for your business. Integral IT have just finished a project implementing 2FA for an Accountancy in Leeds where they didn't want business apps on personal devices and didn't want to provide everyone with a business smartphone. The solution for them was to use Yubikey's 2FA token which is very cost effective and easy to use.

Can 2FA protect my social apps too?

Yes. Facebook, Twitter and Instagram can all be configured to use 2FA. With a smartphone, these extra security steps won't cost you a penny, and we would highly recommend them.
