UPDATE: Intuit is making it harder and harder to get the desktop version, and it does require a monthly or annual subscription.

The reseller mentioned in our video is no longer able to offer the Desktop Pro or Premier versions; they only have access to Enterprise.


If you are looking for the most cost-effective option, check out the Simple Start version of QuickBooks Online.

Using the desktop version is definitely a safer option if you are concerned about the integrity of your client's data, QBO will always be a riskier alternative because there will be hacking and data leaks. They are a bigger target for attacks.

i like desktop, because you have privacy when you install in yours own servers, i dont need pay every month

Wow, so if I upgrade to the subscription and don't pay every year, I can't access my files. Not a question, just a statement. Nothing like being held hostage. Because I outsource my payroll and don't use access online banking thru the bank, I will just keep my desktop for a while.

Desktop Pro 2020. We don't do payroll. Have no plans to switch online unless we absolutely have to. Will watch your Q&A next.

Wanting to stay with desktop 2020 non-profit version and working through everything because it expires next week and my annual payroll prescription goes through the end of the year. We'll see where I end up.

I just upgraded from 2016 desktop (loved it, easy to use... have used similar versions since 2010). Just "upgraded" to the online version at $30/month due to a myriad of reasons.

This experience is similar to the time when Microsoft did the that huge "upgrade" / change to Excel. I was an Intermediate user for years and became a beginner with the newest version.

At least I'll be forced to learn something new.

Candus - I used to use QB for business when I had my own business. I have continued to use QB and upgraded in 2020 for my own personal use. I love it for my own personal because it is fast, easy, very familiar and that is the only thing I use it for. Because I use it for personal use only, I do not download any online services, do payroll, online banking, none of it. All of my backups are local on flash drive. The only thing I do "online" are the updates they send. Will I lose files or anything if I don't upgrade? I could use your advice.

I am planning on keeping QB desktop 2024. I will renew my payroll subscription in June 2024.

I process payroll through my 2020 nonprofit premier edition. So what I understand is I will be required to go to annual subscription using my Desktop version. I’ll have to watch this video again, but I also want to say that I pay annual subscription for payroll already. Hmmm…

Because I do not use the payroll features, I am still using QBD Pro 2017. I have no intention of going to the online version. I have used it at clients offices, I hate it. I don't like the user interface. QBD flow feels better and I believe more user friendly.

WE will stay with our 2022 QBs desk version for now since we do not use for payroll purposes.

So, I am a small business, actually two small businesses and believe it or not I am still using QB 2012 and it works perfectly for what we need. I have my "desktop" version on a online server - (not on my office desktop) which allows me to access my books from ANY computer that I have the online server downloaded too. I wish that I would have updated to the last desktop version before having to pay for the annual subscription. What version is the last version that does not require the annual subscription? If I can find that version would I be able to upgrade my QB2012 to that version without having to pay the annual subscription? Thank you for your response. Tony

I panic at the thought of losing my data after 12 years. I did change over to online in June, but not thrilled about it since it is a little arbitrary at assigning to chart accounts. Seems like if I change one it changes all of them in a reconicilation period. I felt I had more control in Desktop.

This happened to me before and we went to online and it was not necessary. Got 2021 desktop and once again am being bugged about upgrade. I hope I am understanding this correctly, i have our accountant do payroll and only use quickbooks for very basic estimate, invoice and entering payments when received, so sounds like we will be fine if we dont upgrade, correct. Thank you for making this video. Last time this happened it was so frustrating, spent hours on phone with quickbooks and paid up the wazoo all to find out later from our accountant that it was unecessary. Very sad

I do not use most of the features of QA. We have a few rentals and i use QB to import transactions from banks and cc and the categories on checks is helpful. WE done do payroll or invoices etc. we have sold some of the rentals so now it only is for maintenance and income on 3 or 4 properties. I never plan to expand use of QB. And has been a bear since last year or so when i was getting multiple imports of same transaction (almost had me in tears) So give that this is all we use can you recommend a direction

We don’t use any online or payroll. I just use it for tracking small businesses. Am I still going to have to pay just to access my files?? Ugh!!
