How to change or update email account settings in Outlook for Windows | Microsoft

Sometimes you need to make a change to your email account settings. If you have a new password, if your email provider has asked you to change settings, or if you're having problems with sending and receiving email, you can change your email account settings through Mail in the Windows Control Panel, or from Outlook.

How to update or change your email settings from Mail in Control Panel
You'll need to know your account type, the incoming and outgoing server names, and the SSL and port settings for your email account.

1. Open the Control Panel.
Windows 10: In the search box on the taskbar, type control panel, and then select Control Panel.
Windows 8.1: Type control panel in the search box, and then select Control Panel.
Windows 7: Click the Start button, and then click Control Panel.

2. In Control Panel, search for and open the Mail icon.

3. On the Mail Setup - Outlook window, click Email Accounts...

4. On the Account Settings window, select the account you're trying to troubleshoot and select Change.

5. On the Change Account window, check the Incoming mail server and Outgoing mail server settings against those from your email provider or the reference article. If it's different, update the settings.

6. Under Logon Information, verify you're using the correct User Name and Password associated with your email account.

7. Click More Settings...

8. On the Internet Email Settings window, select the Advanced tab.

10. Additionally, compare the encryption types (next to Use the following type of encrypted connection) for both Incoming and Outgoing servers as well and, if they don't match, manually change them.

11. Click OK, and then click Test Account Settings on the Change Account window.

12. On the Test Account Settings window, check if you have green check marks or red markers:
Red markers indicate some or all settings are incorrect. Check your settings and test again. If the test fails, contact your email provider to verify the information.
Green check marks indicate a successful test. Click Close, and then click Next and Finish on the Change Account window. Your email should be properly configured.

Are you sure, that the hostnames at 1:43 are correct? I've never seen a IMAP/SMTP hostname with an @ sign before.

After playing around with this for some time I've come to realize something. When you open file > account settings > change WHILE INSIDE outlook you will not receive the imap pop3 settings you are looking for. Instead open control panel > mail > show profiles > double click profile you are adding the second account to > email accounts > then you will be able to use "change" as it shows in this video. Cheers.

WHY ON EARTH CANT THIS BE DONE IN THE OUTLOOK APP ITSELF...HORRIBLE HORRIBLE HORRIBLE USER EXPERIENCE AGAIN. IT TOOK ME AGES TO FIND HOW TO CHANGE THIS WHAT SHOULD BE SIMPLE TO DO!!!

Why cant we see these settings with Exchange accounts now? Newer versions of Outlook wont let you change the server settings. This makes server migration from one exchange server to another near impossible. You can't delete and re-add the account either, because it whines that the account is the primary account and you have to delete every other email account out of the profile first.

There is no Mail icon in Control Panel, and hasn't been for a long time.

My main concern is that I cannot sign in to my email account, and it tells me the mail and calender are out of date so needs fixing. Every time I am sent a verification code to my phone or my other email account the code does not work. I have about twenty of these codes now so I'm tearing my hair out!! Does Microsoft have a UK phone number?

This is such horseshit. I do as you say to find mail but the setting doesn't exist. Why the h*^l is Microsoft making the so f(*k&^g difficult? I am getting draft email messages when I send, with no way to stop them. No work around seems to exist. The fixes online are antiquated and do not work!

These settings are gone in Outlook 2021. Can't find them in the Outlook program nor in Mail in control panel. Congrats Microsoft for obscuring shit you could have made completely obvious. Why in the world would you put mail settings from outlook in the control panel ?!?! and then later remove them from there.. and put them god knows where? Who the hell is making these stupid decisions? And no I'm NEVER going to sign up for Office 365.. F* subscriptions!

This doesnt make sense... Who has their Outlook looking like its a 2005 model :') All outlooks are now built into windows 10 and 11.... and theres literally no option to change server settings.. all you can do display its current settings... This is annoying. I have to go onto my mobile and download outlook just to be able to change the server settings there... Great job Microsoft for forgetting the basics.
