Creating a PST file in Microsoft Office’s Outlook allows you to store email offline and manage online storage limits. To set it up, navigate to File - Account Settings, open the Data Files tab, and click “Add…” to choose a storage location. Emails can be moved from online accounts to this local PST file. Remember to back it up since the moved email is now only on your PC.

The video does not apply to me, but thank you for the tutorial nevertheless. I use the Outlook that comes in Windows 11. Have like 4 e-mail accounts. How to backup it so in case of format disk or failure i could restore the accounts and settings without adding them one by one?

Thanks Leo for such a clear an concise explanation. Just bought a new PC and was tearing my hair out (which I can ill afford to do) about how to retain control of my email archive with the new version of Outlook. I guess it's best to take the PC offline when setting this up and copying over my backed up PST files in order to prevent everything disappearing into the Cloud.

I found that after making a .pst I could move both Outlook- and yahoo-mails (from 2 accounts) and complete folders to that .pst.
When the name of the folder in Outlook and Yahoo were the same I merged the content in the .pst folder. A novelty for me 🙂
I even succeeded in moving back a folder containing mails from different accounts (both Outlook and Yahoo) to the online .ost environment. This resulted in a partial reshuffle of mails that I previously had in different environments.
An unexpected result of a clean up and archive activity ☺️

Problem. If you ditch MS Outlook at some stage you loose the pst emails. I have another workaround. I created a Google email address/account. I then transfer all emails from Outlook, Apple emails etc to the specific Google storage account set up for email storage only. This account is 15 gb.

Outlook desktop app or even the android version has been the worst nightmare for us. Previously, we keep blaming our email service provider for missing email that sometime Outlook just save the email in local folder when connectivity issue or sometime just Outlook app itself caused the local folder to be missing neither Microsoft escalation can explain why instead just say corrupt or mail service provider issue not their fault. Switching use browser base or Thunderbird has been a blessing for IMAP.

Hi Leo, I have followed your tutorial but not been able to export my email files to Thunderbird. My emails are stored in MS Exchange and each folder needs to be accessed to retrieve the email[s] I want to export. When I retrieve an email in a folder it won't drag
and drop.

P.S. Some backup software won't backup PST files unless Outlook is actually closed (file is not actively being used).

I just completed the step-by-step procedure for my corporate email, since my Gmail email is currently weighing 110 GB, but when I finish the procedure from Outlook, I go to GSuite to see if the size of my Gmail usage goes down and it doesn't go down at all. What could I be doing wrong or do I need to do another step from Gmail? I would really appreciate it if you could help me, since this very large file is destroying my Outlook.

As mentioned by another commenter the new Outlook does not support local storage. I have read that conversion to the new Outlook will become mandatory. Any chance of a video on how to avoid the conversion?

Those are folders even if you use a Gmail account. I don't know why Microsoft decided to remove the folder icon in Outlook (Office version) which was in older versions of Outlook. Thunderbird still shows folder icons

Hi Leo, I assisting set up of a new business who have recently purchased 365 online for Business (Premium) but have been really struggling with the online thing having been used to using desktop apps, it is really illogical ! Lots of things I thought I would be able to do with a couple of clicks have left me searching around online for hours for solutions such as diary/highlighting a document for later review and saving email messages!
I thought I had found a reply with your good self as you specifically say the video is for using outlook online however the outlook I open from 365 (ie in a browser tab) doesn't have the file tab, just Home View and Help. Am I doing something wrong ? The emails I need to save quite often have attachments. I realise desktop outlook does this but am using a chromebook that doesn't have space for outlook and also it is my personal laptop so there are data protection issues too. Hoping you can help, my heads a shed now! 🤯
