9 Essential Calendly features you may have missed

I've been using Calendly since 2014 to schedule calls with my clients and couldn't imagine running my consulting business without it.

In this video, I share some tips for new users and settings you may have overlooked when setting up your account:

1. Use Workflows to set up email and SMS notifications to remind attendees before the meeting.
2. Use one-off meetings to send some custom times you're available to meet.
3. Connect to a video conference platform like Zoom to add a join link to the calendar event.
4. Hide event types you don't want people to see on your main booking page.
5. Connect Calendly to your sales CRM or email CMS with Zapier.
6. Make sure you enable the setting to send a calendar invite. This puts a shared invite on both calendars.
7. In your 'Account Settings' you can set up a welcome message that appears on your main booking screen. This is useful for sharing a bio or explaining your booking process and availability e.g. holidays.
8. Check your calendar conflict settings to ensure you don't get double-booked on top of existing calendar appointments.
9. Set up event types with multiple hosts and optimise for availability.

This is awesome thank you. Around 10.20 you mention about Calendly cancelling the appointment on someone else's Google calendar. Are you referring to work colleagues or work teams? I am unsure if someone would allow access to their personal calendar - can you please clarify. Thank you!

For Zapier, can the zaps be for programs that aren't integrated normally with Calendly? Like if I wanted a client to get added to say Honeybook when they book me, is that possible, or is it only possible for things that are normally integrated with Calendly, like Hubspot?

With husband and wife clients can I send an appointment invite where either one chooses a time slot and the other is notified of their choice and is also able to then change the selection if it does not work for them, with an updated selection notice then going out to the other spouse, etc.?

I don't know if i'm missing it, but I have a weekly recurring Wednesday 7:30 meeting. If someone schedules a different event at 7:30 It removes my recurring 730 metting time on Wednesday. How can I allow someone to book other available events on Wed at 7:30 and not prevent them from booking my recurring Wednesdays at 7:30.

Great info! I'm curious if it's possible for me to add events not created in Calendly, so the workflows affect the meeting. Like, if an existing client books me by phone, could I add them to calendly so they received the automated workflow reminders, etc?

Is there a way to setup reoccurring events? I can't seem to find that anywhere. I want to be able to, so that everyone on my group calls gets the workflow reminder emails before each meeting, but so that I don't need to schedule a new event each month. Any help would be appreciated. Thanks!

I'm curious about in-person meetings. Does Calendly block off time to allow for travel based on the location of the meeting and the location of one's company? So, if I have to drive an hour to meet a client, and they have booked it through Calendly, will Calendly know to block off an hour before and after the meeting, as well as the meeting time?

Hi Paul, great video and I'm already using the tips. One thing I struggle with is when a client signs up with me its for a set of 4 meetings. When they book the first session in calendly I then have to manually book the rest for them (or its a lot of admin for them). Would Zapier be able to set up recurring meetings in calendly?
