I’m a basket case Program Coordinator working for a Provincial Health Authority in Canada in the Recreation Therapy department of a long term care facility, 5 staff. I like in your video how you show what happens with your mind when the different communications are hitting you and your brain gets paralysed and fogs up and then you forget completely about the email or call until days later.

The In-Tray! No wonder I'm feeling overwhelmed and unable to properly visualize or capture my pending tasks. In the past when all is paper-based, an in-tray shows you how much is already done, and thusly satisfying to tackle. But now all is digital, even tools and dashboards no matter how colorful or nice-looking don't have the same sense of satisfaction as a physical in-tray. But of course we need to evole. Hence I will try this tip. Thank you so much!

Capture Tool is a much better term than Task/Brain Dump hehe. No wonder I'm not doing good with "Task Dump" because of the negative wording and implied overwhelm, unlike "Capture Tool" which sounds more proactive. Thank you for this!

Wonderful. Just having this conversation helps. I track all my activities on my excel with charting method for days, weeks, months and annual reports. I should be proud of myself but I also had managers have issues with my task management over some attention to detail. It made me become 100% focused on it now.

Thanks agin for this video. That is how I feel every day. That is why I wake up everyday at 3 am so it is silent. By the end of the day I am Exhausted. But this helps.

I work as a freight broker for a 3pl company and I constantly have to monitor my email for rate requests and live loads to book. I get easily burnt out over the amount that has to be managed and addressed

Thank you for this video. Does capturing alone help in re-focusing on the core task, or is it preferable to Clarify and Organise it immediately ? Also, a request.Can you do a short video on scripts for handling interruptions ? Sometimes colleagues (in pre-covid world), would stop by to have general chat. How do you politely set boundaries ? Would be helpful if you can do a short clip on it.

What do you advice when there is just overwhelming amount of tasks/workload? When I worked at a busy hotel reception, we always used notepads to capture everything, but the requests and phone calls were just coming and coming and you physically might not have enough time by the end of the work day to deal with all those tasks. So naturally, I would often stay 1 or 2 hours late to finish urgent and admin tasks for the day...is it possible to manage that or is it sometimes a matter of being understaffed?

Good one. A very well explained demo. Congratulations!

As a Time Investment strategist, I loved this method. Depends on what works for you. Try various methods and choose the one that works for you. I would do this in this manner. I set aside a time for my Priority work. MY priority, that does not mingle with any one else's priority. If I am drafting an important email or proposal, I put my phone on silence, close the door which has a caption, DO NOT Disturb, and get on that uninterrupted.

I do one email, or one segment, with my outline / framework noted down, take a quick look at my phone, check if there is any one else seeking my attention (I am independent and work from my home office) and then I get back to my next mail.
I also forward my calls to my team when travelling or busy in longer meetings etc.
And most of the people I deal with know that if I dont answer a call they can leave a message with my team

This is 'one' way. Not 'the only way.' Do something that works for you.

But the content on multi tasking by Arif is excellent. I was a proud multitasker till I heard a guy I respected a lot, on the stage, saying Multi Tasking is not possible. I vehemently disagreed. But then I studied the subject in details, and I agree with Arif Vakil. Yes, its a false sense of achievement. I made a series of 5 videos on multitasking. I also have a book on Time Management 'MILLION DOLLAR SECOND'
